FEATURES OF THE CLASS
An
employee in this class administers all aspects of the
TYPICAL WORK
ACTIVITIES
Supervises
the preparation of filing a variety of legal documents including civil
summonses, criminal warrants, subpoenas, transcripts of judgments and commitments;
Dockets
and enters civil, motor vehicle and criminal cases;
Prepares
certificates of convictions for submission to
Supervises
the collection and recording of fines and fees, and the accepting of bail
payments;
Supervises
the making up of bank deposits;
Supervises
the preparation of a monthly report for the New York State Department of Audit
& Control, and the itemizing of each case and fine or sentence imposed;
Works
on the preparation of annual budget;
Supervises
and participates in the drawing of juries for civil or criminal cases, sends
notices of trial to all parties concerned and sends follow up notices to
persons failing to appear in court on scheduled dates;
Supervises
the making up of copies of information for attorneys and the District Attorney
on criminal cases;
Answers
correspondence pertaining to the court;
Supervises
the maintenance of court files;
Plans,
schedules and reviews the work of a number of clerical employees;
Maintains
time records.
FULL PERFORMANCE
KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS
Thorough knowledge of general
office terminology, procedures, equipment and clerical techniques; thorough
knowledge of business English, spelling and arithmetic; good knowledge of the
principles of office management and supervision and ability to apply these
principles to office operations; good knowledge of legal terminology and court
proceedings primarily regarding motor vehicle law and civil law; ability to
plan, assign and supervise the work of a number of employees; ability to
instruct and train employees in a manner conducive to full performance and high
morale; ability to understand and carry out complex oral and written
instructions; ability to make decisions in accordance with state statutes
relating to court procedures; ability to establish and maintain effective
working relationships with attorneys, judges, the general public and elected
officials; ability to maintain complex records and to prepare periodic reports
from these records; ability to maintain financial records of income and
expenses including, but not limited to, balancing of checking accounts,
preparing an annual budget and evaluating personnel needs; ability to teach
court personnel of changes in court procedures as may be mandated by the State;
ability to supervise the operation of a computer system; ability to handle all
personnel matters within the department; physical condition commensurate with
the demands of the position.
MINIMUM
QUALIFICATIONS
OPEN
COMPETITIVE
Graduation
from a standard senior high school or possession of a high school equivalency
diploma, and eight (8) years of administrative or supervisory experience in a
law office or court.
