DISTINGUISHING FEATURES OF THE CLASS
Under direct supervision, an employee in this class is responsible for assisting in the evaluation and design of forms used in data processing, manual administrative procedures and/or to be produced in a print shop. The incumbent acts as a technical assistant to a Forms Analyst or print shop personnel, and helps analyze the information needs of a department, and develops new or revised forms to process and maintain information more effectively. Though under immediate supervision, the incumbent is expected to exercise some independent judgment and initiative in the performance of duties. Does related work as required.
TYPICAL WORK ACTIVITIES
Assists
in designing forms to be used in record keeping and reporting by means of data
processing and manual administrative procedures;
Reviews
forms printing requests for applicability to printing equipment and provides
advice regarding changes which would result in more economical production;
Evaluates
existing forms and makes recommendations on the format and content to include
necessary information and to reduce duplication, inventories and preparation
time;
May
confer with user personnel in the design of printed forms;
Helps
maintain an inventory control and master file of all forms printed and
distributed;
Keeps
informed of new form innovations.
FULL PERFORMANCE KNOWLEDGES, SKILLS,
ABILITIES AND PERSONAL CHARACTERISTICS
Good knowledge of the principles,
practices and procedures of forms analysis and design; some knowledge of forms
analysis and design related to offset printing; some knowledge of the reporting
and data collection requirements relevant to the administration of a
governmental department; ability to learn the principles, practices and
procedures of data processing information input and retrieval systems; ability
to maintain systematic records and files of forms being used and available from
vendors; ability to express oneself clearly and concisely, both orally and in writing;
ability to analyze and solve problems related to information management and
retrieval; physical condition commensurate with the demands of the position.
MINIMUM QUALIFICATIONS
OPEN
COMPETITIVE
Either:
a) Graduation from a New York State or regionally
accredited college or university with a
Bachelor's Degree; or,
b) Graduation from a New York State or
regionally accredited college or university with an Associate's Degree, and two
(2) years of experience in forms analysis and design; or,
c) Graduation from a standard senior high
school or possession of a high school equivalency diploma, and (4) years of
experience in forms analysis and design; or,
d) An equivalent combination of education and
experiences as defined by the limits of a), b)and c).
