DISTINGUISHING FEATURES OF THE CLASS

Under direct supervision, an employee in this class performs responsible record-keeping functions related to the development and maintenance of a jurisdiction's Record Retention Center. Work is performed within the framework of established practices and procedures. Does related work as required.        

 

TYPICAL WORK ACTIVITIES

         Checks accuracy and completeness of documents presented for the transmission, retention or disposition of agency records;

         Maintains data base of Record Retention Center;

         Responds to requests for records;

         Receives and processes new records;

         Assigns file numbers and location codes;

         Researches questions for agency regarding status of records;

         Responds to public inquiries for record retrieval;

         Provides clerical support to Records Advisory Council;

         May supervise a staff responsible for various light or heavy manual activities or routine clerical tasks.   

 

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

Good knowledge of survey and research techniques; good knowledge of principles and procedures of recording and managing records; good knowledge of general office terminology, procedures, equipment and clerical techniques; good knowledge of business English, spelling and arithmetic; working knowledge of the legal requirements for records retention and methods of disposal; ability to understand and follow oral and written instructions; ability to learn assigned tasks readily and to adhere to prescribed departmental routines; ability to utilize computer systems available for records management; ability to make arithmetical computations and tabulations accurately; ability to establish effective working relationships with co-workers, supervisors and the general public; ability to analyze data and draw valid conclusions; physical condition commensurate with the demands of the position.       

        

MINIMUM QUALIFICATIONS

         OPEN COMPETITIVE

         Graduation from a standard senior high school or possession of a high school equivalency diploma, and four (4) years of experience in the clerical aspects of the processing, storage and movement of records in a record center or similar organizational or departmental central filing system.

        

NOTE:  Additional education from a New York State or regionally accredited college or university will be substituted for experience on a year-for-year basis.
