DISTINGUISHING FEATURES OF THE CLASS
An employee in this class coordinates a variety of special projects and general
services for a Suffolk County Department. The employee develops policies and
infrastructure for record storage, assuring the security of physical aspects of
all vital documents and irreplaceable data, and oversees other general administrative
services including security operations and mailroom services. Work is performed under the general supervision of
a department head or administrative supervisor through
conferences and written reports. Does related work as required.
TYPICAL WORK ACTIVITIES
Plans, researches and implements major special projects, such as
updating current space assignments for optimum security and workflow, updating
security procedures for data infrastructure, physical infrastructure and
personal safety, and developing policies for current and future County records
retention and storage; Supervises employees responsible for daily deposits made
to an off-premises bank from various locations;
Creates budget proposals, reports, memorandums and legislative requests
to acquire new equipment, personnel, training and supplies; Makes
recommendations for building renovations and for security procedures to be
followed by the public and employees in the use of the facilities.
Coordinates the operations and develops procedures relating to the
protection of vital documents and data for all department locations and assures
protection for all physical aspects of the offices and facilities by monitoring
the fire alarm systems, internal security door lock systems, access control and
anti-theft systems and security cameras;
Creates policies and procedures for the use of issued identification
badges for employees, and employees of title companies;
Implements and trains staff on mailroom security procedures, such as the
handling of suspicious packages and threatening letters;
Directs and
supervises all mailroom, security and related record management staff;
Maintains contact with Town, County and State agencies and individuals
including County and private architects for all items concerning safety and
security, building space and other administrative items.

CHARACTERISTICS
Thorough knowledge of current effective building and records security
measures; good knowledge of the principles, practices and techniques of modern
office administration; good knowledge of effective supervisory methods and techniques;
good knowledge of the
principles, practices, methods and technology of building space analysis; ability to develop effective security procedures; ability to establish
and maintain effective working relationships with employees, outside agencies
and the general public; ability to analyze facts, arrive at sound conclusions
and make recommendations; ability to express oneself clearly and concisely both
orally and in writing; physical condition commensurate with the demands of the
position.
MINIMUM QUALIFICATIONS
OPEN COMPETITIVE
Either:
(a)
Graduation from a a college with federally-authorized
accreditation or registration by NY State with a Bachelor’s Degree and three (3)
years of experience involving facilities space management and configuration,
and the development of policies and procedures for record security and storage,
(b)
Graduation from high school or
possession of a high school diploma and seven (7) years of experience involving facilities space management and configuration, and
the development of policies and procedures for record security and storage; or,
(c)
An equivalent combination of
education and experience as defined by the limits of (a) and (b).
NECESSARY SPECIAL REQUIREMENT
At
the time of appointment and during employment in this title, employees may be
required to possess a valid license to operate a motor vehicle in New York
State.
