DISTINGUISHING FEATURES OF THE CLASS

Under general supervision, an employee in this class performs highly responsible work for a large department in the development and maintenance of an internal records retention system.  The incumbent applies state of the art technology in the management of the department's forms, case records, furniture and equipment, vehicles and physical plant.  Supervision is exercised over a staff of research, micrographics and stockroom personnel.  Work is reviewed by an administrative supervisor through conferences and review of reports.  Does related work as required.

 

TYPICAL WORK ACTIVITIES

          Researches and evaluates the total records management needs of the department;          Determines and develops alternative methods of efficient records management, assuring compatibility with departmental needs and maximum utility of resources and manpower;

          Recommends the acquisition of appropriate hardware and software to establish a cost effective records retention system;

          Develops and writes procedures for the operation of a records retention system including transport, micrographics processing and hard copy storage and destruction or conversion to other media to assure cost and space efficiency;

          Directs and oversees the micrographics and stockroom staff involved in the records retention process.

 

FULL PERFORMANCE KNOWLDEGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

Thorough knowledge of survey and research techniques; thorough knowledge of principles and procedures of recording and managing records; good knowledge of state of the art computer systems available for records management; working knowledge of computer programming and system analysis and design; ability to analyze data and draw valid conclusions; ability to supervise the work of personnel in a manner conductive to full performance and high morale; ability to express oneself clearly and concisely, both orally and in writing; physical condition commensurate with the demands of the position.

 

MINIMUM QUALIFICATIONS

          OPEN COMPETITIVE

          Graduation from a college with federally-authorized accreditation or registration by NY State with a Bachelor's Degree, and five (5) years of administrative experience, two (2) years of which must have included experience in records retention processing.

 

Note:  Additional administrative experience may be substituted for the college education on a year-for-year basis to a maximum of four years.

 

          PROMOTIONAL

          Three (3) years of permanent competitive status as a Records Management Assistant.
