DISTINGUISHING FEATURES OF THE CLASS

The employee in this class performs highly responsible varied and confiden­tial work requiring a high degree of discretion for the Suffolk County Sheriff.  Work involves responsibility for acting as a special assistant and personnel representative for the Sheriff.  Supervision is exercised over the non-technical operations of the department.  The incumbent is expected to exercise a consider­able degree of independent judgment and initiative in providing central services necessary for the essential operations of the department.  The major emphasis of this position is on the confidential nature of the work involved.  Work is performed under the direction of the Sheriff, who reviews work through confer­ences and submission of reports.  Performs related work as required.

 

TYPICAL WORK ACTIVITIES

          Coordinates the administrative duties and functions of the Sheriff's Office; assigns and supervises the work of a clerical staff;

          Receives, investigates and resolves questions and/or problems received from the public, employees, other departments and outside agencies concerning depart­mental activities;

          Acts as liaison between the Sheriff and other County departments, municipal agencies and the general public with respect to departmental policies;

          Prepares statistical reports on criminal and non-criminal matters, costs of services and personnel profiles;

          Consults with and advises the Sheriff on matters concerning departmental operations and efficiency; assists in developing policy involving personnel matters;

          Handles appointment schedules for the Sheriff; prepares correspondence and responds to inquiries related to the Sheriff's Office;

          Assists the Sheriff in solving problems associated with the administration and operation of departmental programs;

          Prepares statistical reports on criminal and non-criminal matters, costs of services and personnel profiles; prepares progress reports relating to depart­mental operations and goals.

 

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

Thorough knowledge of the methods and techniques of office management and organizations; good knowledge of the principles and procedures of public admin­istration; good knowledge of effective supervisory techniques; ability to gather, assemble and analyze facts for special research projects; ability to rapidly acquire considerable knowledge of the legal, administrative and proce­dural regulations applicable to the administration and operation of the depart­ment; good knowledge of modern office equipment, practices and procedures; ability to plan, organize and supervise the work of subordinates in a manner conducive to full performance and high morale; ability to express oneself clearly and concisely both orally and in writing; ability to establish and maintain effective working relationships with employees of the sheriff's Office, department heads and the general public; good judgment; tact; courtesy; physical condition commensurate with the demands of the position.

 

MINIMUM QUALIFICATIONS

          Either:

          (a) Graduation from a New York State or Regionally accredited college or university with a Baccalaureate Degree and one (1) year of administrative experience involving responsi­bility for office management, supervision, and/or public relations; or,

          (b) Graduation from high school or the possession of a high school equivalency diploma and five (5) years of administrative experience involving responsi­bility for office management, supervision, and/or public relations; or,

          (c) Satisfactory equivalent combination of the above experience and education.
