DISTINGUISHING FEATURES OF THE CLASS
An employee in this class is responsible for coordinating
warehouse and mail services for the three campuses of the Suffolk County
Community College. Responsibilities
include overseeing the distribution and storage of inventory, the processing
and delivery of mail and internal communications, and the maintenance of all
related records. Work involves
developing policies and procedures necessary for the efficient operation of the
warehouse and mailroom. Work is performed
under the general supervision of a higher level administrator and is reviewed
through conferences and reports, review of effectiveness of procedures, and
observation of work performed. Does related work as required.
TYPICAL WORK ACTIVITIES
Supervises and
coordinates college-wide warehouse and mailroom services;
Monitors and
manages the internal receipt of delivered goods, screens goods for damages and
for incorrect deliveries, records and communicates all problems to the
purchasing department, and coordinates the return of goods to vendors as
needed;
Supervises and
coordinates the maintenance and distribution of all physical inventory
including office supplies, equipment, parts, and other consumables
college-wide;
Plans, directs,
and establishes systems to identify, label, tag, and record inventory;
Coordinates and
expedites the delivery of mail, packages, and other goods college-wide;
Establishes
efficient systems and processes to sort, meter, pick up, and deliver mail, and
maintains accurate records of postage meters, registered and certified mail,
and various postal accounts;
Assists administrators
in the preparation of the annual budgets for the warehouse and mailroom,
monitors budget balances to ensure adequate funding, and submits periodic
reports.

Thorough knowledge of storekeeping and
inventory control procedures; good
knowledge of postal terminology, regulations, procedures, rates and equipment;
good knowledge of locations of the Community College and County departmental
facilities; good knowledge of
arithmetic to make calculations involving fractions, decimals and percentages; ability
to understand and follow oral and written instructions; ability to maintain
various clerical records; ability to make simple computer entries and
corrections; ability to deal courteously and tactfully with municipal personnel;
ability to
interpret a variety of instructions furnished in written, oral, diagrammatic,
or schedule form; ability to supervise the work of personnel in a manner
conducive to full performance and high morale; ability to deal with individuals
and agencies in a tactful and effective manner; physical condition commensurate
with the demands of the position.
MINIMUM QUALIFICATIONS

COMPETITIVE
Graduation from a standard senior high
school or possession of a high school equivalency diploma plus six (6) years of
mail processing and; inventory control and/or stock keeping experience, at
least one (1) year of which has been in a supervisory capacity.
NOTE: Additional education beyond high school
from a college with federally-authorized accreditation or registration by NY
State may be substituted for four (4) years of the above non-supervisory experience.
