DISTINGUISHING
FEATURES OF THE CLASS
Assists the Director of Probation in the administration
of the Probation Department. This work requires a high degree of discretion in
dealing with confidential matters. Responsibility includes assisting the Director of Probation in coordinating administrative
services, preparing a variety of reports including the annual budget, and assisting
in the operation of departmental units as assigned. The incumbent exercises a
considerable amount of independent judgment and initiative in the performance
of duties. Work is reviewed by the Director and Deputy Director through conferences
and written reports. Does related work as required.
Prepares departmental overtime reports;
Assists with budget preparation and
control;
Compiles data and assists in the
preparation of annual reports and other reports as needed;
Manages and coordinates the fleet of
vehicles assigned to the Probation Department and completes all reports related
to fleet management and maintenance;
Coordinates building maintenance and
handles requests for building services and moves throughout department;
Schedules meetings and staff
training and prepares material for the meetings and training as requested;
Assists in the operation of the
Department’s Restitution and Fee Collections Unit.
FULL PERFORMANCE
KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS
Thorough knowledge of the principles, practices and
procedures of office administration and the ability to apply these principles
to office operations; good knowledge of the policies and programs of the
Suffolk County Probation Department; good knowledge of the methods and
techniques of budget and report preparation; ability to coordinate detailed
information into clear, accurate reports in a timely fashion; ability to
establish and maintain effective working relationships with all levels of
Probation Department staff and the staff of other agencies; ability to express
oneself clearly and concisely, both orally and in writing; physical condition
commensurate with the demands of the position.
MINIMUM
QUALIFICATIONS
Either:
(a) Graduation from a college with
federally authorized accreditation or registration by New York State with a
Bachelor’s Degree and three (3) years of administrative experience; or,
(b) Graduation from a standard
senior high school or possession of a high school equivalency diploma, and
seven (7) years of administrative experience; or,
(c)
Satisfactory equivalent combination of the above experience and
education.
